How to Create a Checklist using Conditional Formatting in Microsoft Excel

If you want to monitor your daily activities, you can create a To Do list which will be really helpful in completing the work.

We will use IF function in Conditional Formatting.

 

Let us take an example:

We have list of daily activities in column A & these are important or of more priority in column C.

In column B, we want checkmark whether the activity is important or not. We can enter a formula in conditional formatting to give a look of checkmark.

  • In cell B2, the formula would be =IF(C2="Yes",1,0)
  • The above formula will give us either 1 or 0 depending on the selection in column C

To apply conditional formatting:

  • Select the cells in which conditional formatting needs to be applied
  • Click on Home tab
  • From Styles group, click on Conditional Formatting
  • Select New Rule

  • You can also use shortcut key ALT + O + D
  • The New Formatting Rule dialog box will appear

Under Format Style:

  • Select Icon Sets

  • Click on green Icon & select Green Check Symbol

  • In Value field, enter 1 & change the Type to Number

  • Now change the Yellow color ball to White Circle (All White Quarters)

  • In Value field, enter 0 & change the Type to Number

  • Change the third ball to No Cell Icon

  • The last step is to check the Show Icon Only checkbox

  • Click on OK button twice

In this way, you can create your own To Do list using Conditional Formatting.
