Sometimes you need to make a copy of the file and work on it, so that you do not alter the original file. When you open a file as a copy, a duplicate of the file is created and you are actually working on the duplicate file. The program gives the copy a new name by adding Copy (1) to the beginning of the filename. To do so -
1. Click the Microsoft Office Button and then click Open. Alternatively, you can click Open on the File Menu.
2. In the Look in list or Navigation pane, click the folder, drive, removable media or internet location that contains the file that you want to open.
3. Click the file that you want to open a copy of .
4. Click the arrow next to the Open button.
5. Select open as copy.
