In simple words, while working with long unmannered data. We need to extract the count having multiple criteria with not logic or say values to exclude using the formula in Excel.

How to solve the problem?

For this article we will be needing to use the MATCH function & SUMPRODUCT function. Now we will make a formula out of the mentioned function. Here we will give a list of mixed values. We need to find the count of values satisfying conditions and using ISNA function to exclude values.

Use the formula:

= SUMPRODUCT ( ( range = criteria ) * ( ISNA ( MATCH ( rng , cri_rng , 0 ) ) )

range: first range to match first criteria

criteria : criteria to match with first range

rng : second range where criteria to exclude

cri_rng : values to exclude from second range


All of these might be confusing to understand. So, let's test this formula via running it on the example shown below.

Here we have a table and we need to count the values matching certain not logic conditions. Conditions are as following.

  1. Must be a female employee so Gender array matches F.
  2. Must not include employees from group A and B.

Now we will use the formula below to get the count of values in the table satisfying the mentioned criteria.


= SUMPRODUCT ( ( Gender = H5 ) * ( ISNA ( MATCH ( Groups , I5:I6 , 0 ) ) )


  • MATCH (Groups,I5:I6,0) matches all the group values with the given criteria values and returns an array of numbers and #NA values.
  • MATCH function returns index for matched values and #NA! Error for the unmatched values.
  • ISNA returns TRUE value for the corresponding matched #NA! Values and FALSE for the returned index values.
  • Gender = H5, this returns all the matched values as TRUE and unmatched as FALSE.
  • SUMPRODUCT function returns the count of matched TRUE values corresponding to the both arrays.

Here the array to the function is given as named ranges as mentioned in the yellow colored cells.

Named ranges used in formula:

Gender (E4:E17)

ID (D4:D17)

Groups (F4:F17)

Single argument value provided as cell reference. Press Enter to get the result.

As you can see in the above snapshot the count comes out to be 3. There are 3 employees which are female and don't belong either group A or group B.

Now we can check for the result via filtering contents see the below gif. Just filter the table array and count the number of matched values or can use the above-mentioned formula to get the count.

Here are all the observational notes regarding using the formula.


  1. The formula only works with numbers and text values both.
  2. The array which are Gender and groups must be of same length else the SUMPRODUCT function returns error.
  3. Operators like equals to ( = ), less than equal to ( <= ), greater than ( > ) or not equals to ( <> ) can be performed within function applied with numbers only.
