» Filtering a Range into a List of Unique Records
CATEGORY: Excel Filter
To filter a range into a List of unique records:

1. Select a cell the range (see screenshot).
2. From the Data menu, select Filter, and then Advanced Filter.
3. Select Copy to another location.
4. In the Copy to box, insert a cell address.
5. Select the Unique records only checkbox, and then click OK.

I believe it would be useful to be able to break a list down, showing unique records as WELL as duplicates, perhaps filtered into two seperate columns or at least formatted differently between the two.
Furthermore, if I use conditional formatting, how may I select the conditionally formatted cells alone (cannot use find function with format.)

Lastly, if filtered and I choose to select all rows, the hidden records are also copied. Short of selecting each cell using the ctrl key (difficult for ranges with thousands of records,) how might this be achieved?

In response to pmarion's post (which is dated "December 31, 1969 18:00 EST" by the way. I don't think this site, let alone the Web, even existed back then. Someone might want to look at system dates somewhere.....) asking, in part,

After you do your find, in the menu, go to EDIT --> GO TO... --> SPECIAL --> click VISIBLE CELLS ONLY. This essentially performs a Select All but only on the cells
that are displayed.

Sachin, the 2 a's appear because the advanced filter recognises the first entry in the list as the label heading your data table; hence the "a" appears twice.

My attempts to exercise your tip failed. You have shown 5 steps for this procedure. In "View Tip on the web with user comments". There is no mention of Conditional Formating but the same is there. Please help me as to what you mean by "unique records" and how should I filter them.

Is there a way to copy specific rows that have the same dealer name in the cell to a different sheet? The entire list has many different rows with different dealer names and I want to each dealer onto a different sheet. Do you know of a way to do this?

You can name the list using Insert->Name->Define
Ex. "MyList"
Then you can open the other sheet and input for the "List Range:" the list name
Ex. "=MyList"

This allows you to copy to a range in the currently open sheet.
